JUNE 2015 Sunset Lake Board Meeting Minutes

The meeting was called to order on June 2nd, 2015 at 7:45 PM.
Motions
- The board reviewed the May meeting minutes and approved them for posting to the website, facebook and the email distribution list. This review, approval, and vote occurred online prior to the June meeting.
- Mike M. announced that he has received Rick Diesinger resignation from the board. Diane Adams was voted in to assume the position of Water Quality Secretary to replace Rick Diesinger.
President – Mike McLaughlin
Membership
Mike said he received a request from one of the lake members for cancellation of their membership and refund of dues. The board discussed this request and decided against giving the refund primarily because the deadline for dues to be fully paid June 1st has elapsed and the membership dues are applied for the entire year and cannot be prorated.
4th of July
Mike M. has submitted the application for alcohol permit for 4th of July and said we are on track to obtain this well in advance of event. He also confirmed that we have obtained the insurance rider for that day to cover us for alcohol liability.
Annual meeting
Submitted application for Nov 15 between 1-5pm. Awaiting confirmation from the library. There is no charge for this venue and it is supplied with Wifi and a projector system.
Mike M. asked the board to start thinking about budgets for next year. He emphasized he plans to have a more detailed presentation and discussion on budgets with the membership at the annual meeting.
Website update
The new lake website address is www.sunsetlakenj.com. The site is still in beta testing and content (lake events, private parties, etc.) need to be added.
Pat H requested Mike M to arrange for a show and tell orientation session for the board members to go over the website. Mike said he will talk to George Biking and schedule something soon.
Vice President – Pat Holoob
- Cleanup – Pat said people are not cleaning up after themselves after lake functions and private parties. For e.g. The tables were on the side of the clubhouse for a couple of weeks after the Beer Fest. We need a plan to assure cleanups are done properly.
- Painting – Painting the back and side of the clubhouse is on top priority.
- Art work – Pat wants to put the Sunset Lake Logo on the side of the clubhouse where the pipes from the shower were removed. There were some ideas brought up by other members for imprinting kids handprints on the side wall. She said she does not support this idea as it would make us look like a day care center. This area of the clubhouse is fully viewed by all cars passing by. Kari agreed and added that we could put up a mural done by an adult artists but no kids prints. Mike M suggested we ask Illona to give us two samples and we will vote on it.
- $1700 is remaining on the club house budget. Painting is priority, but bathroom ceilings are peeling and need attention and care.
- Bathroom mats are dirty and worn out. Pat said we will try to clean them and if that doesn’t work we will purchase new ones.
- Pat reported that the township provides a recycle dumpster and recommended we should request one and put it next to the garbage dumpster in our parking lot. It is picked up once a week and will eliminate the dirty recycling bins behind the clubhouse. She will look into how we can acquire one.
Treasurer – Bob Papp
- Three new member applications were received. Ruben family, Howe family and Sam Buccini. Scott and Lisa Ruben both work for the board of education. They have two children Jacob and Alexander. Howe family – Nathan and Lori Howe. The board voted in the new members subject to receiving the dues and initiation fees.
- Bob went over the financial statement for last month with the board members.
- Beer fest collected $250 for lake restoration and the remaining went to checking account.
- $1000 was refunded to JoAnn and George Y in exchange of their membership bond.
- Bob said it’s June and membership fees are due to be paid in full. Mostly all members are paid in full but there still are about a dozen members in arrears.
- Well water was tested and we have obtained a permit to run a bathing place for this year.
Grounds – Mike Gilmore
- Parking Gate – Mike G reported that Jim Doggett is helping Tom Kern to fix the parking security gate. It’s some kind of database issue.
- Security Fobs – Kari reminded Mike G that the lifeguards used the fobs for clocking time. Since it’s not working we will need an alternate solution for time keeping.
- Bees at the beach were spotted and Mike M asked if anyone knew an exterminator.
- Dock was fixed, power washed and cleaned up.
Lifeguards – Kari O’Connell
- New place for lifeguard kayak is underneath the lifeguard stand. It is secured with a buckle and not a lock to make it easy to use in case of emergency. The Kayak paddle is put up on the fence.
- 9 lifeguards are confirmed, 7 are members and 2 non members. Kari said she’s still looking for two more.
- Lifeguards are using a sign in sheet for time clocking. This is stored inside the cabinet.
- June 19th is the first day of Bridgewater-Raritan schools’ summer vacation. Starting on June 19th there will be two shifts 11a-5p and 2p-7p everyday until the end of the season.
- Kari said she has communicated to the guards the cell phone usage policies while on duty. No texting and talking on the cell phone on duty. If anyone notices any violations please reach out to Kari.
Membership – Patti Driscoll
- Three new membership applications were received.
Social – Michelle Caravella
- Tricky Tray raised $565 for lake beautification.
- Family movie night this Friday.
- Chris Lelli bought a projection screen for $900 at the board’s request. usual cost is $2,000 and over.
- Father’s day brunch flyers are out.
- Michelle asked if campout should run for two nights. The board suggested she could plan for an off site camping trip, but should keep the campout at the lake to one night.
July 4th
- Michelle shared details on the Laser light show. Alan Keith Entertainment charges $400 for an hour. The board agreed this is a good alternative since we do not have fireworks this year and asked Michelle to work on the details.
- Tickets will priced the same as last year Adults: $18/21 Children:$10/12 (member/non-member)
Water Quality – Diane Adams
- Mike M said he will work with Diane and ramp her up on the Water Quality duties.
- Allied Biological contract for water testing is in place
- Cattails are coming back up and Hydro raking was discussed as an option to look into. Diane said she will research in to this.
Environmental – John Arcoleo
- Nothing to report
Correspondent Secretary – Bob Sellinger
- Absent.
New business
- Parking lot lighting – quote from Bob McManus $650 for new light. Bob P said if we could have a switch that turns the light off after 10pm. He also reminded the light has to project on to our property so it does not bother the immediate neighbors.
- Michele suggested bounce house for july 4th. But since we are going for the laser light show it was decided not to have this.
- Open house – Mike M brought up the open house planned for june 28th. It was decided not to do one this year and try again next year.
- Kudos to Lake beautification committee – Bob P thanked the team on the lake beautification committee for the wonderful job they have done.
- Kari brought up social media requesting more careful moderation since some comments have been embarrassing or hurtful . Mike M said he will look into it and serve as the moderator on our facebook page.
