April Board Meeting 4/5/16

Meeting started at 7:40pm
Motions: March meeting minutes were reviewed and approved by the board members to be distributed to the membership via email, FaceBook and website.
President – Mike McLaughlin
Mike reported that the boat ramp work is completed. The ramp is about 12-15 feet wide and goes about 4 feet into the water. We are ready for Aquatic Technologies to come in and start the water treatment.
Vice President/Membership – Pat Holoob
Pat asked everyone at the board to send a profile picture, cell phone number and email to include in the membership directory. Mike M will provide Pat with the latest bylaws, so she can include them in the new membership packet. At the last annual meeting the membership limit was revised to 150.
Pat is hosting an Open House on May 21st between 11AM – 4PM. This event is organized to invite people in and around the neighborhood giving them a one day pass to use the lake and an opportunity to apply for the lake membership. Pat requested the board and the membership to help out on that day in anyway they can by grilling hot dogs or setting up food and beverages.
Pat said she has received the COLA membership dues letter. Bob Papp will fill it out and pay the COLA dues. The first COLA meeting for this year was held on March 19th and the next meeting is scheduled on April 30th. Members are encouraged to attend these meetings. Anyone who is a member in good standing can attend.
Clubhouse – Chris Lelli
Chris reported that D&L Well Pump who fixed the well pump at the clubhouse is not licensed to work on hot water heaters. He’s talking to his plumber for fixing hot water.
Treasury – Bob Papp
Bob Papp reported he has received $1000 initiation fees for a new member application.
Bob said he was very happy to report that with a lot of effort and professional help from a bookkeeper all accounts are now reconciled and the accounting books are in order. We are paying $35/hour to the bookkeeper who is billing about 6 hours per month. Bob said the money spent with the bookkeeper is worth every penny and emphasised the importance of retaining the services to ensure our accounts always stay in order.
The advance dues payments program which was initiated 5 years ago to support the 2011 dredging has ended this year. There are 29 certificates of $1000 each still outstanding and this remains to be a long term liability for the lake. The 2011 dredging expenses will be capitalized and depreciated over a period of time.
Form 990 for 2014 and 2015 need to be filed. The accountant has recommended restating taxes for 2011/12/13 with corrections.
Bob said he will be reminding people in arrears to pay membership dues immediately. After July 4th it’s very hard to get people to pay.
Hillsborough fire – Bob Papp reported that everything before 2010 was destroyed in the Hillsborough warehouse fire. This includes meeting minutes, photos, old bylaws, etc.
Corresponding Secretary – Lisa Kutchaver
Lisa presented to the board a draft of newsletter that she is preparing and asked for feedback.
Lisa said she had received a number of quotes for the lake sign. She will work with Mike M to compare the quotes and make a decision to proceed with the best option.
Recording Secretary – Harshal Limaye

Environmental – open position
Grounds – Mike Gilmore
Mike said fall cleanup is scheduled on Sep 24th just before the October beer fest. Pat requested not to tear down the tarps and umbrellas since late Sep could still be good weather. Mike G agreed.
Mike G said he wants to add to the newsletter a reminder to the membership to sign in when they come down to the beach or the clubhouse.
Spring cleanup is set for May 7th. Recycling bin hasn’t been picked up. Mike G said he has given the Recycling company a key to the parking lot gate. Trash service will be resumed same time as water is switched on in the clubhouse.
Lifeguards – Kari O’Connell
Kari reported staffing for lifeguards for the summer season is underway. She said she is hiring two more lifeguards and as always preference will be given to lake member children. She has sent a letter to the Mayor requesting for permission to close the road in front of the clubhouse during the months of April, May, September and October on an as needed basis. This is in addition to a request to close the road between 10AM – 7PM starting Memorial Day to Labor Day.
Kari said we need to buy a kayak for lifeguards and it needs to be a sit on and not sit in. A budget of $500 maximum is allocated for the kayak. The ropes will be installed on the day after the Open House.
Social – Jill and Keri Graef
Jill and Keri reported the Easter Egg Hunt went well.
The first Adult party was originally set for June 25th, but since that is the graduation weekend, Jill suggested we move it to July 17th. The second adult party is tentatively set for Sep 10th.
June 19th is Father’s Day and Diane Harper has requested for a private party same day. The board responded Diane can have her party after 4pm.
Water Quality – Diane Adams
Diane Adams reported the contracts with Aquatic Technology for control of algae and aquatic plants and with Garden State for fecal coliform testing are in place. Aquatic Technology will survey and start treating as necessary soon. Garden State will start testing the water before the swim season opens.
