May Board Meeting 5/3/16

Meeting started at 7:40pm
Motions: April meeting minutes were reviewed and approved by the board members to be distributed to the membership via email, FaceBook and website.
President – Mike McLaughlin
501-3-C: Mike M. provided an update on the 501-3-C status. He said it changes us from social to a non-profit organization and allow us to take grants and donations. However, the paperwork required to change the status is exhaustive. He proposed we approach the lawyer we have on retainer for an estimate on the cost involved in preparation for the filing. He also proposed we plan for this expense in our annual budget and take it up next year.
Chambers Brook – The Bridgewater township has approved a budget of $150,000 for the Chambers Brook reconstruction project – Phase I. Mike M said he will follow up with Tom Forsythe from the town and explore benefits to us, if any.
Lake Sign: We received multiple bids for the lake sign and after careful consideration Signarama has been selected for the work. There was a question from the board if it will require a permit, Mike said he will find out and if required he will try to get it in before Memorial Day.
Miscellaneous: The dead tree behind the basketball court needs to be removed and Mike M said he got a quote for $700. Pat Holoob and Bob Papp shared names and contacts for a couple of other tree services contractors and Mike said he will check with them and compare quotes.
We have collected a couple of boats from the boat roundup and Mike asked the board if we should auction or raffle them? Everyone suggested we do a raffle at the Spring cleanup on May 7th.
Vice President/Membership – Pat Holoob
Pat reported she has received a $100 deposit for a new member application from the Christovao family at Magnolia Drive. They have two children a 2 year old and a 1 month old. The board voted them in subject to receiving memberships dues and the initiation fees.
New Members Postcards: Pat has printed about 1300 postcards for $213. She plans to send them out on the postal routes. There was no easy way to exclude current member addresses, so everyone will receive one in the mail.
Membership Key tags – Pat has ordered 500 tags for $305.79. She will be distributing them to members in good standing during the Memorial Day weekend.
Pat reminded all board members to send her their profile pictures so that she can include it on the membership directory.
Clubhouse – Chris Lelli
Chris reported that the hot water at the clubhouse has been fixed. He is working on updating the audio system.
Wall Mural – Chris’ wife is interested in doing a wall mural at the clubhouse. Two ideas will be proposed and the board will vote on it.
Treasury – Bob Papp
Bob Papp provided an update on the membership dues. He said we have received about $54,000 but there’s still a balance of $20,000 in membership dues. By June 1st any member who is not paid in full will receive a notice letter.
Bob went over the financial statements for the prior month.
He presented a letter from the Central Archival’s Attorney confirming total loss and alerting us about compensation which will be about $2 per tote; $28 in total.
Martinsville Rescue Squad – Kari’s motion to donate $50 to Martinsville Rescue Squad was seconded and approved by everyone.

Environmental – open position
Grounds – Mike Gilmore
Mike G reported that Somerset County Recycling has picked up the recycling dumpster. Mike G has put together a cleanup chores list for the cleanup on May 7th.
A member has asked Mike G to check out the dock at Hickory and inspect it. A tree fell on the recycle dumpster and will have to be cleared. Mike G said he has updated database of key cards for the parking gate. Lawn care has started with Watchung Hills Landscaping.
Mike G said it’s time to replace the road closing barriers (they are worn out).
Lifeguards – Kari O’Connell
Kari reported we have purchased a new lifeguard kayak for $300. It will be delivered in a week. Bob Papp recommended FastSigns by the Somerville circle to get vinyl stickers for the lifeguard kayak.
Road closing official permission is in. Lifeguards start on Memorial Day and will work weekends only until school closing. Starting school closing (June 24th) until Labor Day they will work all days in two shifts 11am-5pm / 2pm-7pm. Cole Harper, Christine Arcoleo among others are coming back this year. Kari said she’s hiring two more.
Kari requested Mike G to look into the key fobs which is used by the lifeguards for clocking hours.
Social – Jill and Keri Graef
Jill and Keri stated Family Fun Day is on May 14th between 12pm – 3pm. The first Adult Party is in June and flyers are being prepared for the same.
Water Quality – Diane Adams
Diane reminded everyone that Matt Perez will be running a Fishing Derby at the lake. She said there has been no substantial vegetation growth per Aquatic Technology.
New Business
Bulletin Board – Pat Holoob said the bulletin board is very crowded and doesn’t have enough room for social announcements. She asked if the employment exhibits need to be on it. The board suggested we can move the exhibits to another board behind the kitchen doors.
Kari – Kudos to Lisa Kutchaver for putting together a beautiful newsletter.
Bob Papp reminded everyone that we need a certificate of insurance from people who do contract work on lake premises.
Jill brought up drinking water at the clubhouse. Pat Holoob said we have a water filter and Bob Papp said the water is tested by certified facility every year and is safe to drink.
Diane Adams said we maintain North shore and we should maintain the South shore as well and plan for lake beautification on South shore.
