June 2019 Sunset Lake Board Meeting Minutes

Meeting called to order on June 3rd, 2019 @ 7:35pm
President – Mike McLaughlin
Special Meeting – A request for a special meeting of the membership has been made by Pete Balascio to discuss “whether the presence at the lake of former members who live outside of the watershed, invited as guests by current members, is allowed per the bylaws”. The board of trustees discussed this topic thoroughly unanimously agrees that if you live within the watershed map and are not a member or are a past member, you cannot be a guest at the lake. However, if you live outside of the watershed, the bylaws are silent on the issue and, the board believes, people in that position are welcome at the lake as guests of members. The special meeting will be held on the patio of the clubhouse on June 24, 2019, at 7PM sharp to discuss this topic with the membership.
Alcohol Permits – Mike M has applied for a beer permit online for both the July 4th picnic and the beer fest. He will be getting the insurance riders quote in a week. No trained bartenders will be required at beer fest and he said he should be saving some money on insurance.
Motorized Boats – Boats with electric motors were spotted on the lake. Mike M said a message should be sent out to the membership to remind them that “under any circumstances no motorized boats are allowed on the lake”
Sailboats – Some people reached out to Mike asking him to allow for some kind of a mooring buoy for sailboats. The board discussed this and decided not to allow this as there is not enough room on the lake for it.
Vice President – Mike Gilmore
Mike Gilmore was absent. Mike M. updated the board that the parking gate has been fixed.
Treasurer – Lisa Kutchaver
Lisa brought up a billing issue with Aquatic – Mike M will take care of it.
Membership dues – 3 members had paid their dues in half. 4 new members had not paid the initiation fees yet. 8 members are not paid at all.
Carpenter bees on lifeguard stand.
Corresponding – Regina Palmer
Regina asked if there was a way we could post information on the website and send a link to the website to membership on all important communications. Harshal to look into this.
Membership – Cynthia Freund
Grounds – Helder Cristovao
Helder has bought materials for fixing Hickory Dock. Maggie said the grass on ball-field needs to be cut. Helder said he will talk to the mowing contractor
Lifeguards – Maggie Potter
Boat stickers
12 Lifeguards on payroll – 6 are members and 8 are 1st year Lifeguards. Maggie suggested we could have a “Meet your lifeguards page” on the website. Maggie went over all the keys for the clubhouse, sheds, etc.
Water Quality – Donna Marlowe
Donna reported the lake was closed a number of times due to water quality issues from the rains.
Club house – Rob Bolte
Propane tanks – Need a shelf to store the tanks and charcoal. Grill covers. Drain is clogged. Shower head is trickling water.
Rob said he will spearhead stonework required to manage water and prevent sand erosion from the playground on to the street.
Social – Julie
Discussed with the board asking for clarification on what is and is not allowed for fees on instruction based events, such as yoga and painting.
Chris O’Brien – offsite winery trip. He will arrange a shuttle.
Father’s Day Brunch is the next social event. Water balloons are not allowed.
New business
Yoga – Lost $40 last year.
Camera Recording – Sean is setting up the web portal for viewing.
Drop procedure – What is the drop procedure for membership?
Mail Lady – Mike will call the post office
String lines keep geese away.
Dispenser in Mens room is broken – Rob will buy 2 new.
