August 2019 Sunset Lake Board Meeting Minutes

Meeting called to order on Aug 12th, 2019 @ 7:40pm
July minutes were approved by the board for posting on the website and distribution by email.
President – Mike McLaughlin
Sean Ryan is taking over clubhouse duties from Rob who has resigned over the weekend. Mike M. made a motion, which was seconded and passed by the board, to vote Sean Ryan to serve as a trustee for the remainder of this year in place of Rob.
Beer Fest – Sponsorships from breweries and VIP tents will be continued this year. Major food supplier owner is not available and unreachable. Mike M is talking about backup such as hiring a lake kid to grill hot dogs and burgers. Every year Randazzo’s gives us food for 300 people. One owner has agreed, but we are waiting on the second owner to confirm.
Hydro-raking will begin soon. Regina asked if water quality is impacted during hydro-raking. Mike said the process stirs everything up, so water is not the best during that time. Mike M suggested usually we recommend membership not to use the lake while they do the process.
Maggie asked membership to reconsider the carry-in-carry-out policy. Suggested that garbage cans be removed from clubhouse and beach. Members must bring their garbage to the dumpsters. Harper boys haven’t been in the past week, and garbage cans are overflowing.
Budget planning – Asked members to start thinking about the budget for next year.
Dam – Hiring someone to take a look at the valve and the dam.
Vice President – Mike Gilmore
Billing issue from Aquatic – $847.66 lapsed bill from last year. Need to figure out if this was overcharged or just something we missed.
Treasurer – Lisa Kutchaver
Lisa was absent but she sent the treasurer’s report to the membership by email.
Corresponding – Regina Palmer
Membership directory went out. Lisa is keeping everything in Quickbooks, but Regina will maintain a separate list.
Alice Jarvis, long time and current member passed on the night of Aug 4th. The Sunshine committee will send a card to the family.
Membership – Cynthia Freund
The Schumer family (Laurel, Michael, and their two children Kaila and Gabby) have submitted a membership application along with a $100 application fee. The board made a motion and voted them to the membership subject to receiving the $1000 initiation fees and annual dues.
Grounds – Helder Cristovao
Nothing new to report. Hasn’t gotten to the steps on Hickory dock. Tree removal in fall. Mike M asked Helder to ask landscaping guys to remove the weeds and growth from the playground.
Lifeguards – Maggie Potter
Maggie reported that in general things are in good order in terms of the LG. But sometimes there’s no LG coverage. This LG availability has increasingly been a problem as there are other places like Lifetime and other swim clubs where they get paid more.
Water Quality – Donna Marlowe
Donna said the water is being tested regularly and there have not been any major issues.
Clubhouse – Sean Ryan
Suggestions – remove hose from the side, which kids use to make a water slide. Instead add a little foot wash.
Engraved pavers on the patio is a good fundraiser and Sean said he’d like to get this back and raise some money.
Annual kickball / baseball game at the field. Field Day. Right now the field is a swamp – so we will wait till Fall.
Get pictures of members. Propose we take a pic at fall cleanup and have everyone show up.
Fix the pavers at the back.
Refrigerator at the back with a padlock. No alcoholic beverages overnight.
Map out the circuit panel to see where the breakers go.
Sean asked how much budget is left for the clubhouse.
Get a gas line for cooking.
Maggie – right in front of patio – pocket of water near the street and pavers. Get stone on the sides of the steps.
Social – Julie
Yoga is ongoing and will keep going till weather permits.
Old York wine event – not many people RSVPed
Movie night this Friday.
Adult party – $670 collected with 48 people attending
Added more movie nights
Trunk or Treat & the Holiday party is still unclaimed with no owners.
New business
Mike M –
About a month ago the Governor signed the “Water runoff erosion act”. We have water runoff issues at the Lake as everything runs into the Lake. Mike has emailed the town councillors and freeholders to find out more information on how this new act will be enforced in our town.
Cynthia –
Labor Day – Happy hour Friday. Labor Day Sunday potluck, some food bought and cooked.
Bylaws – Met with the committee. The committee is made of 8 people – Cynthia F, Jim Doggett, Jim Hart, Bob P, Peg Harmon, Linda M, Sheila Miller.
Maggie Potter:
– Private party rules
– Ice pop debris everywhere. Down by boat launch, basketball court, in front of the refrigerator in the clubhouse, on beach and playground.
– Asked if anyone has contacted Johnathan Sheema regarding his volunteering to refinishing tables.
– There are two table tops in the shed behind the clubhouse. Do we have legs and benches to go with them ? How do we get these assembled?
– Flag Pole crooked.
– Swimming at your own risk sign as you enter the beach from the parking lot is not secure. When the fence was disassembled to spread sand, it never got bolted back. I was approached by a member who stated that “someone is going to cut themselves on the metal.” Bottom half is flapping in the wind.
– Kitchen well water test results need to be posted in the clubhouse or on the bulletin board. Township came to inspect and stated the results need to be posted.
– Next year, we need to go back to strictly enforcing the beach badge rules. Must have a badge while on property.
– Reflective tape for the barricades. Was it ordered?
– there is an office chair in the stream, over the dam. Mike M said he’ll get rid of it.
– Dog on the beach Sunday incident.
