Sunset Lake Board Meeting Minutes – September, 2018

Present: Mike McLaughlin, Lisa Kutchaver, Mona Ragazzo, Donna M, Harshal Limaye, Cynthia Freund, Rob Bolte, Mike Gilmore, Helder Cristavao

President – Michael McLaughlin
Beer fest – Mike reported another successful “beer fest” at the lake. He reported that after paying out all expenses the event will net about $4,000. Approximately $1800 were raised from running the silent auction at the event. All the proceeds will go to the lake.
Mike reported the dock on North Shore is knocked off and needs attention.
Other Facebook group – Mike said he had reported a copyright infringement complaint to Facebook in regards to the unauthorized use of the Sunset lake logo. Facebook reported the issue as resolved after the other FB group removed the Sunset lake logo.
Mike reminded the members of the board that budget for next year will be discussed in today’s meeting.
Vice President – Mike Gilmore
Mike reported that the parking lot gate is broken and probably needs a new piece of wood. He also reported that the well water test results came out and they are good.
Treasurer – Mona R
Mona reported an accounting issue in regards to how much membership dues to charge a new member who has joined the lake late in the year (Sep). Since there are no rules for prorated membership fees in the by-laws, Mona proposed that no membership fees will be charged to the member for 2018. The member has paid $1000 initiation fee which will go to the lake restoration fund and $100 application fee which will be applied as a donation to the lake.
A motion was passed and the board voted all in favor.
Petty Cash – A motion was made to issue prepaid “Visa Gift Cards” to board members, that can be used as petty cash for expenses such as buying toilet paper and paper rolls for the clubhouse. The board voted all in favor.
Mona reiterated a need for a champion to look into insurance.
Corresponding Secretary – Lisa
Lisa said there was a little confusion over “kids not allowed” for the beer fest event and suggested going forward we should print policies about kids for all events.
She also discussed if hiring a babysitter for beer fest could be an option. Individual parents can get together to hire babysitters. Liability if lake is responsible for hiring sitters.
Clubhouse – Rob Bolte
Rob proposed to buy a new fire pit for the clubhouse at an estimated cost of $750. A motion was passed and the board voted all in favor.
Rob reported garbage service will be cut around end of Nov, or beginning of Dec. Mike M said we should budget new sand for the playground for 2019. On the beach we don’t need new sand, but the existing sand needs to be pushed out from benches to the shore line.
Water Quality – Donna M
Donna said, besides water quality testing for the lake, she will also take over well water testing at the clubhouse starting next year.
Donna had some questions to the board regarding treating algae for next year. Mike G. responded giving some guidance and said he will help Donna with the process.
Membership – Cynthia Freud
Cynthia proposed we should buy new grills for clubhouse. Cynthia requested to buy a mosquito trap for the clubhouse. She also suggested we get a professional bid to work on Hickory dock. Rob and Helder responded that they are going to fix it.
Cynthia is championing the “bylaws committee” and asked the board for suggestions on who will be willing to participate. The board suggested Jim O’Donnell, Peg Harmon, Jim Hart, Tom Harper, and Bob Papp.
Beach Rules – No water balloons, lifeguards have authority to remove bathers causing trouble in water.
Bylaws – The bylaws committee will look into issues such as prorating membership dues, requiring boat decals for all boats, etc.
Cynthia was happy to report that Bobby Gato has volunteered to join the board in 2019.
Grounds – Helder Cristavao
Helder reported that grass cutting will be discontinued soon (probably two more cuts) and then we will need fall cleanup.
Helder shared a lake management course run by Rutgers Continuing Education at Duke Farms on Nov 8th and 9th from 8:30 – 4:30pm. The cost of the course is $475 per person for both the days. The board approved the cost of two people to attend this course. Helder said he will go, if some one else goes with him.
New Business
Lake cleanups – Mona suggested we should have mid season cleanups, in addition to the two cleanups in spring and fall.
