February 2020 Sunset Lake Meeting Minutes
Present: Cynthia, Sean, Chris, Mike M, Harshal, Maggie
President – Mike M.
Prorated membership: A member was asking Mike M for prorated membership dues for 2020. They are moving out of the country in late summer but wanted to be members for the par of the year.
Boat Rack: The Boys Scout will be building 2 racks with a capacity of 6 boats each.
Cynthia made a motion to spend $50 for an ad in the Boys Scout publication. The motion was seconded and passed by the board.
2020 dues: Invoices for the membership dues have been emailed and mailed. 8 emails bounced. Chris confirmed that there are a total of 137 members and 127 emails were sent out.
Ice skating: Make some new signs at the lake to remind people that ice-skating is not allowed on the lake.
Treasurer – Chris
Chris is catching up with the treasurer duties. He reached out to Emily who is our insurance rep for Valentine’s dance.
Issues in Quickbooks: Chris said some members owe partial dues and initiation fees and he’s sorting out these issues in Quickbooks.
Property Tax for 2020 has been paid. He needs to get in touch with the bank for account signing authority and paperwork.
Geese control: Fairway Green does the application of geese control for the lake. Early application at the lake and surrounding properties will cost approximately $626.25 and $232.40 respectively.
Website: Chris asked if board members have login to the website. Harshal responded that only board members will have logins. Suggested we create a Whatsapp group for board members to communicate more easily on issues that needed immediate attention.
Chris pointed out that the lake laptop is very slow and outdated and may need to be replaced. This laptop has the Quickbooks installed which is used for lake accounting.
Membership – Cynthia
One new membership application received and they want to join this year.
Mike M said he knows someone in the neighborhood who wants to join, he will send them to Cynthia.
Maggie P – Lifeguard
Maggie said the board should consider raising the Lifeguard pay and the board had a discussion on this topic. Proposed to raise the minimum wage to $11 per hour.
Clubhouse and Grounds – Sean
Sean reported that the lake cleanup went very well.
New Business
Petty Cash Reimbursement – Need PDF form to get authorizations for reimbursements. Explore online payments options like Venmo and Paypal.
Invoices to be sent again by email blast (as some members said they did not receive the invoice). Send a message on FB to ask members to update their email address and check the spam folder.
