Sunset Lake Sep Meeting Minutes
The meeting was called to order on Sep 14, 2020 at 7:30PM
Present: Mike, Chris, Donna, Julie, John, Harshal, Maggie
President – Mike M
Meeting minutes: Mike made a motion to accept the Aug meeting minutes, all in favor the motion was passed.
Hydro raking: The Aquatic crew has been working hard and they have cleaned out 80% of the inlet area where the island is and today they moved in front of the island towards Hickory dock to start taking some of that stuff out too. They have half a day on Wednesday and they’re going to spend that time on either side of the beach to clean out the muck on both sides in the swimming area. Mike said he will take a kayak out hopefully tomorrow and check to see but as of Friday they had removed 60 truck loads full of muck. On the first day it did smell but it doesn’t seem to now, so that won’t be a concern. It stinks when it’s really fresh and then goes away.
Cleanup: Looking to do a deep cleanup maybe the last Saturday/Sunday in September. Sunday people like to watch football, so either do it Saturday afternoon or Sunday morning
Annual meeting: The Annual meeting is set for the second Sunday in November and usually it is between 1pm-3pm. We’re going to have to do this by Zoom this year. Mike asked Julia if she has the capability to use her zoom conference for the meeting and open it to possibly 30 people.
There were discussions about holding the annual meeting at an earlier date when the weather is a little warmer and doing it at the Lake clubhouse to encourage more participation. This will also save the Lake the expenses to book a venue. Mike recommended we could discuss this at this year’s annual meeting and any changes to the schedule will need changes to bylaws and a vote by the membership.
Board positions: Mike asked the board to let him know if anyone is thinking of stepping down from the board next year. Patty Hills said she would be running the nominating committee again this year.
Kitchen opening: Indoor occupancy is open at 25% in the State and therefore we can open the Kitchen for use by members. One person at a time or a one family unit at a time will be allowed to use the Kitchen. Masks required.
TV update: Mike and Sean tried to get the TV hooked up for football. TV still works and looks nice but there’s an issue with the Verizon signal. Ken Campbell is working on this issue.
Vice President – John
John said he was looking at the insurance and I didn’t see any place where the board trustees were insured. The insurance has a rider for Directors & Officers which covers the board, John said he will dig into it and confirm.
Treasurer – Chris
Chris: As of today, in the checking account we have $52,600. It is estimated we will have about $10,000 surplus after paying off the remaining expenses, utilities and as such for the remainder of this year.
Outstanding dues: We still have people who have not paid their dues for the year. Chris will pull out a final list of people unpaid or partially paid. He asked the board what’s the plan of action, what are we going to do about these people who have half paid or not paid and still are using the beach. Do we tell them either you pay by the end of September in full or you’re out of the lake and you don’t get your $1,000 back. If you want to join again in 2021 you’re paying another thousand plus dues. Mike said we will take a final call on the action once we have the list most likely in the next month’s board meeting.
Membership – Cynthia
Cynthia was absent for the meeting but she submitted an application for membership by email which was voted all in favor on email.
Lifeguards – Maggie
Overall we had a good swim season.
The Lifeguards have been taking attendance, writing things down and sitting in their stands or around the water. Mike said, “I have to say I was down at the Lake a lot this year, a lot more than I ever have been and the lifeguards seem to be more focused on the lake than doing anything else. I haven’t seen a cell phone in these kids’ hands even when the beach is empty so I think they’ve been doing a pretty good job this year so credit to Maggie”.
Maggie said the carry-in-carry-out garbage policy is working well. We should continue to do that.
John asked if the lifeguards are cleaning the bathrooms. Maggie said Evan Harper is cleaning the bathrooms, but apparently he has not got paid this year. This will be taken care of right away.
Social – Julie
Julie: I’ll try and get another movie or two in before it’s too chilly for that. Halloween has come up, I’m not personally a fan of Trunk or Treat especially during this year, we’re still waiting to see if there’s any ruling from the Governor for Halloween.
New Business

Mike –
The Boy Scouts are asking if they can park their trailer in the parking lot. The trailer size is about 7 X 12 overall size box on wheels. The board discussed allowing them to park in the back corner of the parking lot on the grass, on the condition that they clean up the area and also provide some labor on cleanup days in exchange. Sean Ryan wants to put Century railroad ties down at the end of the playground to build that up and the Boys Scout can dig that sand out by hand they can lay down the railroad ties. Or they can do stuff like picking up the branches etc.
Maggie
– The spot where the hydro raking guys lay down their equipment is disturbed. Are they going to flatten that area and return it the way they found it or how the grass is going to return to being grass. My recollection is the last time they did it they flattened it out and they may have seeded it or maybe Gilmore seeded it I honestly don’t remember.
– The new patch that just appeared when the tree came down, a pine tree. What are we going to do with that, are we going to seed it, people now starting to park boats there.
– When the hydro rakers scoop all the muck out on both sides then we can hopefully get a truckload of sand or push some of the sand that is on the beach out to that area to expand the beachhead. I don’t know that we’re in a position to do anything yet right now as far as bringing sand in or putting fence posts there or anything.
– I’m hoping that we can just put sand there and we have a continuation of the beach on either side.
– We talked about putting logs up all around the grass so that people don’t park there or use the grass area mostly on the North Shore. We talked about John taking the big heavy logs from the parking lot and dumping those there so that people don’t pull onto the grass
– Issue of fixing the fence behind the clubhouse. We should find out where the property line is before before we go and fix the fence or decide what’s going on back there with the fence like I –
