APRIL 2015 Sunset Lake Board Meeting Minutes

The meeting was called to order on April 14th, 2015 at 7:45 PM.
Motions
The board reviewed the March meeting minutes and approved them for posting to the website, facebook and the email distribution list. This review, approval, and vote occurred online prior to the March meeting.
President – Mike McLaughlin
Parking Lot
- Contract signed with Hicks Paving. Awaiting site plan waiver from township. Expected to start work as soon as approval is received from the town.
Insurance claim
- There’s no further news on the medical claim.
Social Host liability
- Insurance quote is $650 premium upto $1MM per claim with a cap of $2MM aggregate. This covers our liability from serving alcohol for 4th of July and Beer fest.
- The board has decided to buy into this policy to cover us for these events.
- $650 premium will be split between the beer fest and 4th of July
- All other social events will be BYOB. The lake will strictly not provide alcohol at the other events mainly because of lack of liability coverage.
Special Meeting
- Special meeting will be held on Sunday April 26 between 2-5pm at Pluckemin Presbyterian Church – Trinity Room.
- The agenda for this meeting will be to discuss the report from the Proxy committee and take a vote on proxy voting.
- Discuss liability issues related to alcohol and fireworks.
Website update
- George has beta released our new website sunsetlakenj.org
- website allows members to book parties, send reminders to participants and lifeguards, set profile for members to search common interests, classified ads
- Its a little slow – George is working on fixing speed
- Weather, ability to poll membership
Ballfield
Ballfield was vandalized twice. Police reports were filed. $1000 deductible. Mike G is getting bids for repair.
Vice President – Pat Holoob
- Pat said she wanted to complete painting the clubhouse. It turns out we have lead in the soffits, wood doors, etc.
- Pat asked Bob P of he could talk to Ken Sorrento to talk about painting supplies and what he has left over.
- Hicks – $70 a month handicap accessible porta potty. It was decided we will wait until after the season and possibly get one after water in clubhouse is turned off in the fall.
- Discussed options for locks on clubhouse. A new padlock will be installed and keys will be provided to members if requested for $2 per key. All other options are too costly. Allows universal access to the clubhouse.
Treasurer – Bob Papp
- IRS abated the $10,000 penalty for late filing Form 990 for the tax year ending December 31, 2011.
- The Lake restoration account at Affinity Federal Credit Union and the checking account at Bank of America signature cards were updated adding the President, Mike McLaughlin and Vice President, Pat Holoob and dropping
the outgoing office holders.
- George & Jo Ann Yanizeski resigned from membership and has returned their Certificate of Entitlement to the Treasury for redemption.
- Bob P went over the financial statements.
- Bob P has mailed out membership dues reminder to members who have not yet paid the first half of dues.
- $500 donation from Ralph Obenauf for beach beautification.
Grounds – Mike Gilmore
- Two cleanups in March. There was a big turnout. Jim Hart cut a lot of trees.
- May 2nd cleanup will get a chipper.
- Got quotes for lawn care. Asked our contract details with Santiago.
- Bob P will provide the price we paid Santiago from previous invoices.
Lifeguards – Kari O’Connell
Kari was absent.
Mike M. passed along her report:
- she has sent a letter for road closure to the Mayor.
- Ann Perry and Mark Allison have generously offered their kayak for use by the lifeguards for this swim season..
Membership – Patti Driscoll
- Two new membership applications received. Little and Parella families were voted in as new members subject to receiving the initiation fees and the annual dues.
- Patty will be dropping off postcards to people recently moved into the neighborhood.
Social – Michelle Caravella
- Egg Hunt was a success.
- Booking bus for next casino trip May 16.
Water Quality – Rick Diesinger
- Rick was absent at the meeting.
Environmental – John Arcoleo
- Thanked people who took the trees down.
- John talked about cattails and grass.
- Standard algae treatment.
- Electrical fence to keep deer and other animals away for the garden. John will price it out.
Correspondent Secretary – Bob Sellinger
- Bob Sellinger was voted in as Corresponding Secretary for the Month of April. Votes were 8-1 in favor.
- There will be a notice going out to the members on special meeting and parking lot.
New business
- Create new corporation that focuses on education. Currently we are 503C7 non profit organization which waives off taxes. However donations to the organization are not tax deductible. Changing to a 503C3 will allow for donations to be tax deductible. This is a long term project.
- Basketball net – Ken Campbell has found a net that will last for 15-20 years at a total cost of $1750 installed. The board voted in to approve this project with 8-2 votes.
- Bob P – Floating dock needs to be repaired.
- Award to recognize members
- Bob P asked permission for Boy Scout Troop 154, Pluckemin to use the Lake for canoeing Friday evening, May 29th. The board voted that in.
- Pat proposed running an Open House for lake possibly in June. We should start with inviting people within the watershed area this year.
- Next COLA meeting on May 2nd.
